Rental Agreement for the Pomeroy Community Building or the Knight Train

This agreement puts forth regulations for the use of the Pomeroy Community Building or for the use of the Knight Train. All rentals must be regulated by the City Clerk / Deputy Clerk.

Terms:
Nonprofit Organization = A not-for-profit organization
Betterment Group = A group of people who organize an event for the community.
Customer= An individual / group of people / organization in which rental of property occurs.
Deposit = Money given to the City Clerk / Deputy Clerk to reserve the Community Building or the Knight Train for a specific date, for specific amount – returned after date of rental with no report of damage(s).

A Nonprofit Organization or Betterment Group can use either the Community Building or the Knight Train at no rental fee. A Nonprofit organization, a Betterment Group, or a Customer, must sign a contract agreement and a Deposit must be received. If a Customer wishes to engage a rental agreement on the same date as a Nonprofit Organization or a Betterment Group, the City Clerk / Deputy Clerk will contact the group to see if time frame accommodations can be made so both can use the Community Building / Knight Train for that date. A Customer cannot supersede a non-renting group if a non-renting group has signed the contract first.

If a rental date is discussed but a contract is not signed and a deposit is not made and a second rentor wants the same date, all effort will be made to contact the first requestor. If they cannot be located, the Community Building or Knight Train may be rented to the second requestor who has deposit money for that same date.

*
The key for all Community Building rentals may be picked up 24 hours in advance.
*
All Knight Train rentals may have the train picked up 8 hours prior to the rental time, or if there is no other rental within 24 hours, it may be picked up 24 hours in advance.

The Community Building will be inspected BEFORE the rental date and will be inspected AFTER the keys have been returned to the City Clerk / Deputy Clerk. If the Community Building and / or Knight Train are in the same condition as when rented, the Deposit will be returned. If not in the same condition, the deposit will be used for repair.
